Autopay and Late Cancellation fees

Hello Providers, 

Jenn and I have been speaking about making sure that we have clear guidelines for clients regarding credit cards and autopay. We want to ensure that clients are paying copays/coinsurance and late fees/no show fees on time. This helps the billing process go more smoothly, ensures clients have transparency regarding billing, and ensure providers are paid on time for clients with deductibles. 

This policy requires all private pay and commercial insurance clients to have an active credit card on file and autopay enabled. 

This does NOT apply to clients with Medicaid - including Medicaid Open Card, CareOregon, Trillium, Yamhill, Intercommunity HealthCare, etc. - as these clients CANNOT be billed for any services, late cancellations, no shows, or for any other reason according to Oregon state law. 

Today and tomorrow I will be sending out this form to all commercial and private pay clients. If you can please let me know if/when this form is signed and the clients' name. That would be immensely helpful. 

LATE CANCELLATIONS AND NO SHOWS: Especially due to this new policy, it's vital that providers adjust appt invoices when there are late cancellations or no shows. When a client late cancels or now shows - you must go to their appointment within your calendar. The appointment must be switched to self-pay and then the fee adjusted to reflect the desired charge. If this is not done, clients will be charged the full amount we charge insurance - which we don't want. If you have any trouble doing this, don't have this setting, or need any help with it PLEASE contact me before the end of the day so that I can adjust the appt before the invoice goes out.
